Union County Band Aide Club Meeting

August 5, 2008

President called the meeting to order with a warm welcome to all, especially the new members. Maxine Craft led in prayer. Stacy Gibson read the minutes from the previous meeting. Maxine Craft voted to approve the minutes and Jim Hart gave a second. Susan Adams gave the treasury report. As of 7-7-08 there was $11274.13 in the general account and $1125.57 in the kid’s account. Since band camp however, we have $1107.55 in the general account and $125.57 in the kid’s account. Susan explained to new comers how the fundraisers work and how monies are added to the kid’s accounts. Mr. Wilkes elaborated on the monies for student’s accounts.

In the absence of Fish Fry Chairpersons Tony Gregory and Howard Gibson, Sue Gregory gave an account of how the fish fry works explaining that it is a big part of our fund raising for the year and she began to solicit help. Maxine Craft expressed a need for homemade desserts to be sold that night.

The Jamboree will be held on August15th 2008. The Booster Club will feed the football team/band members hotdogs.  They are asking for our help in making the hotdogs starting at 1:00 pm at Union County High School. This years Jamboree will include 6 teams all with Union ties.

Chairperson Pam Fowler has sign up sheets for concessions. You can pick the game you want to work as well as the shift. She and Susan Adams gave an account of how the concessions work.

President Andy Fowler explained that Phil Tollison who owns the Philco Trailer is interested in using our space on the lower field to set up another trailer to sell boiled peanuts, funnel cakes etc. He doesn’t overlap the items we sell so there wouldn’t be a conflict of interest. Allowing him to do so we (Band Aide Club)

would get 20% of the profits from this trailer and we don’t have to do anything.

Karen Greer made a motion to do this and Kakie White made as second.

Again this year in an effort to save a large sum of money Susan Adams is heading up flag preparation for the color guard. She expressed a need for help, from cutting, to ironing or sewing. It is our goal to have at least one set ready by the Jamboree which is August 15th . A date was set for August 12th to start on this project anyone interested in helping please meet at the UCHS at 4:00 or as soon after as possible.

Our 20th Anniversary of Wilbur F. Smith is set for October 4th 2008. Chairperson Susan Adams explained how big of an event this is and expressed a need for lots of volunteers. There will be a head person for each task so that no one person is overloaded.

Mr. Wilkes spoke on the individual pictures of students in band uniforms. This will be done sometime around the Christmas Holidays.

Andy Fowler expressed a need for someone to head up spirit sales/marketing for this year.

The executive committee is still working on getting or using one of the school districts SUV’s to pull our Band Aide Club trailer for this season.

Julie Hart Chairperson over chaperones expressed ALL volunteers need to fill out and turn in a form for a background check. This is mandatory in the state of South Carolina.

Upcoming meetings will be Sept. 2, 2008 and Sept. 30,2008.

Mr. Wilkes introduced the band staff for this year, gave an update on our show and expressed what a good group of kids we have. He said the band sounds great and everything is going well. He also asked the club about changing the practice time on dates August 19th – September 4th from 6:00 – 8:00 to 4:00 – 6:00. This is the same practice time for the rest of the season. It was initially set for later times due to the heat factor. However, with the price of gas and some students living so far away it would make sense to stay at school, have practice and go home instead of going home and having to find a way back to practice. The group gladly voted to make the change. Mr. Wilkes told the club the show shirts for this year would go home August 14th. The school is paying for the first shirt for each child. If you would like a shirt to support our band or if your child wants a second shirt you can purchase these after August 14th for an approximate cost of $10.00. In closing Mr. Wilkes said our props for this year wouldn’t need an extra vehicle to transport them. They consist of a large tarp, decorated cardboard boxes and helium filled balloons.

Cathy Poole Chairperson over our newsletter shared with the club to be on the look out for your newsletter. This will keep you in the loop and will arrive approximately every 4 –6 weeks and will be on gold paper.

With no further business the meeting adjourned.

Respectfully Submitted,
